Storage Space - You have unlimited storage space when you opt for an in house email server, but the hassles and costs of setting up one are too much for a small company. However if you opt for hosted email, be sure to find how what the storage limit per mailbox is. As a rule, storage space is generous, with a minimum of 5 GB per mailbox. Don't settle for less.

Spam and Virus Protection - Be sure you are provided industry class spam and virus protection with your email. Spam and virus databases of your email provider should be regularly updated to keep with with ever evolving and sophisticated spammers and hackers. 

Mobile Mail Access - In this age of mobile workforces, you want your users to be able to access their email right on their mobile devices. See if your provider supports push messaging for well known mobile devices like iPhone, Blackberry, WinMo etc. 

Outlook Compatibility - Apart from webmail, and access through the propriety email client of your email provider, many of your users will be comfortable using a widely used email system as MS Outlook. Most good email providers include Outlook integration, which allows you to manage and sync your mail with MS Outlook. Look out for this feature. 

Backup - Make sure your hosting provider keeps redundant copies of your email.  You don't want their system to go kaput, and lose all of your invaluable business data in mails. Automatic and regular backups are a MUST!
